The subsidy goes to our account, but as I said, we had to apply for it ourselves. The cooling function was simply included for us and is a nice side effect. I wouldn't spend extra money on it; I'd rather invest the money in a proper air conditioning system.

Okay, I had misunderstood. Since you said that usually the developer takes care of it, I thought that was also the case with you.
As far as I know, the cooling function always costs a small extra charge, but considering the total costs, it is certainly negligible. I'm just thinking about whether I'll stick with the gas boiler + solar thermal system after all if the advantage of the air-to-water heat pump or the cooling function is limited. The air-to-water heat pump is also said to have one of the shortest lifespans.
Well, I'll wait for the offer and, if applicable, the cost difference first.

In our case, we had to take the heat pump out of the overall contract in order to receive the BAFA subsidy. At the time of the application, nothing was allowed to be signed yet. Then we submitted the application to BAFA. This already required calculations from our later heating installer (e.g., regarding the expected annual number of the system). With the application, there was initially an online process number, and at some point, we received a confirmation letter from BAFA with the final process number, in which the subsidy was approved. Only then were we allowed to sign the contract for the heat pump. At the end, quite a few things still had to be submitted - including an invoice showing the costs for the heat pump and other documents that the heating installer had to fill out for us. Of the 4,500 EUR subsidy, we had to pay about 400 EUR to the heating installer - for his additional efforts.

We are doing that right now as well. For us, the developer was able to name the eligible costs exactly upon request. So for the BAFA application, do not just specify the extra charge for your contract heating system, but be sure to ask the general contractor for the full eligible costs. I almost slipped up on that. The general contractor has sent us the offers from the executing companies so far and also a quotation letter showing the full costs we pay the general contractor for the heat pump. After the final inspection, we will receive the "Confirmation of the Developer" form filled out by the general contractor. It can be downloaded from the BAFA website. There, the general contractor confirms that the heating system is running, what the system cost, and that we have fully paid for the system.

We also received the calculation of the AZ from the installer.

I will then upload the documents to BAFA once we have them all together.

Attention: You must absolutely submit the funding application to BAFA before you begin the measure. That means before the order is awarded. Since there are sometimes different interpretations of this: This does not necessarily mean before you have signed the construction contract with the general contractor. The BAFA form clearly states: "The start of the project is defined as the legally binding conclusion of a contract for delivery or service attributable to the execution with the specialist contractor."

Many thanks also for your explanations. Were you able to contractually ensure beforehand that the heat pump also meets the funding conditions?
Did you have "only" the heat pump in the funding or also central residential ventilation right away?

If you want it comfortable in summer, then build massively and make sure to have good shading including venetian blinds.
