Basically, I do not think it is right to badmouth banks / insurers here. You sign contracts and should also read them properly.

The fact that they are now requesting a letter one year after repayment is probably related to the process. Small institutions manage their loans rather sluggishly. Large institutions are more like a credit factory.

But still, why does a bank today still need a [Briefgrundschuld]? The enforcement of a [brieflosen Grundstück] does not take any shorter or longer. I somehow don't see the advantage. The disadvantage, however, is that such a [Grundstück-Brief] can also be lost by a bank. It doesn't happen often, but it has been experienced often enough.

Business practices don't have to be understood. Maybe the bank director is old school and wants it that way

This is not a bank at all, actually it is a "Rentenversicherungsträger?" for affiliated members (doctors) and indeed I just took a look at their balance sheet. Nothing is forfaited there. They simply give out loans (under whatever conditions). Therefore, the [Briefgrundschuld] makes even less sense.
